Here’s my exact automation setup that handles 80% of what my VA used to do.
What My VA Was Doing
Before I made the switch, my VA handled:
- Scheduling social media posts (5 hours/week)
- Drafting email newsletters (3 hours/week)
- Responding to routine emails (4 hours/week)
- Creating blog post outlines from my notes (3 hours/week)
- Basic image creation for blog posts (2 hours/week)
- Research for upcoming articles (3 hours/week)

The 4-Tool AI Stack
Tool 1: Claude Pro — $20/month
Replaces: Blog outlines, email drafts, research
I feed Claude my rough notes and voice memos (transcribed by Otter.ai) and it produces structured blog outlines, draft newsletters, and research summaries. I review and edit everything — this is not set-and-forget.
Time saved: ~9 hours/week
Tool 2: Buffer + AI — $36/month
Replaces: Social media scheduling
Buffer’s AI assistant generates social post variations from my blog content. I batch-approve a week’s worth of posts every Sunday. The AI adapts content for each platform automatically.
Time saved: ~5 hours/week
Tool 3: Canva Pro — $13/month
Replaces: Image creation
Canva’s AI generates blog thumbnails and social graphics from templates I’ve set up. I have branded templates that the AI fills in — consistency without the effort.
Time saved: ~2 hours/week
Tool 4: Zapier + ChatGPT — $28/month
Replaces: Routine email responses
I set up Zapier automations that draft responses to common email types (sponsorship inquiries, reader questions, partnership requests). The drafts go to my inbox for review before sending.

What I Still Do Myself
AI can’t replace everything. I still personally handle:
- Final editing of all content (my voice matters)
- Strategy and planning
- Relationship building with sponsors
- Complex or sensitive email responses
- Recording videos and podcasts
Important Caveats
This setup works because my tasks were largely repetitive and template-based. If your VA does creative strategy, relationship management, or complex problem-solving, AI tools won’t replace them.
Also: I review everything before it goes out. “Automation” doesn’t mean “zero oversight.” The AI drafts, I approve.
